The Workforce & Industry Development Unit (WID) of ACSA delivers information and services that improve quality and support the workforce of organisations operating within the aged services sector. 

We are Industry driven, providing information, and implementing initiatives that develop and support the delivery of quality services to older Australians that meets expectations and are responsive to consumer needs. 

We work with our stakeholders to help them achieve their workforce and industry development objectives.  We deliver this work through three key areas of focus: Workforce Planning, Workforce Development, Sector Support, and Industry Development.

This role has regular contact with the Senior Manager of WID, ACSA members, other ACSA Team members and other Stakeholders so a high level of professionalism and customer service is expected. The Training & Professional Development Officer & WID Office Administrator will be working in partnership with the Strategic and Operational Coordinator of Training and Professional Development and the Workforce & Industry Development Team across all functions. The role is responsible for the provision of administrative support and assistance to the WID team, but in particular, the Training & Professional Development (T&PD) Unit. 

The position will work with the team to deliver activities that broaden the capacity of the industry to meet the needs of older people. 

Activities include:


  • Providing support to the Senior Manager – Workforce & Industry Development.
  • Assisting in the maintenance of the Training and Professional Development Portal
  • Assisting in maintaining training programs including organisation of trainers/presenters and venue, information to be provide in the online environment, registrations, production of required resources, management on the day(s) of delivery, and all post-delivery activity including facilitation of payment.
  • Assisting in the planning of all aspects of ACSA T&PD activities to ensure they meet industry needs and are organised, conducted and evaluated.
  • Assisting with the marketing and coordination of activity
  • Assisting with reporting and invoicing
  • Online workshop session management and facilitation
  • Providing on the ground administrative support for the delivery of local training

Customer Service

  • Providing a high level of customer service to all employees and external stakeholders at every point of contact.
  • Responding to requests in a timely and professional manner
  • Offering advice and services to meet customer needs and provide solutions to problems
  • Delivering on promises made to customers and stakeholders and ensure timely follow up
  • Developing relationships with customers and stakeholders in a professional capacity

Team Support

  • Providing overall administrative assistance to the Workforce & Industry Development Team.
  • Supporting the T&PD Team in the lead up to training delivery at both a local and National level.
  • Providing clerical and administrative support by preparing correspondence and maintaining documents and files.
  • Applying knowledge and understanding of administrative principles, practices, methods, and techniques to manage all administrative records.

The person we are looking for:

  • Has relevant qualifications or experience in office administration
  • Has high level relationship building and relationship management skills
  • Has excellent spoken, written and communication skills.
  • Is proficient in the use of Microsoft Office suite of applications and has a current driver’s licence.
  • Able to work autonomously or within a team environment
  • Be flexible and helpful and have a “can do” attitude
  • Prioritise work in terms of urgency and as per consultation with the Strategic and Operational Coordinator T&PD. Schedule work activities in advance and be counted on to follow through on tasks
  • Able to keep track of priorities and give supervisor early warning of possible problems
  • Shows initiative and is proactive in looking for improvements to work practices

This position will be contracted for a period of 12 months from the start date.  The competitive remuneration package includes the ability to salary sacrifice.

The role of the Administration Support Officer is to be the extra set of hands we all wished we had! You will provide admin and reception support services throughout the client journey. You will be responsible for day to day duties such as processing documentation, welcoming our visitors i.e. examinees, medical consultants, clients etc., preparing consulting rooms, answering phones. The function of this role plays a vital role as it helps connect all the dots throughout the client journey. This means having the client experience front of mind, in every interaction is key!

This role offers you the opportunity to grow within our team as you are well situated to evolve in our company due to the multi-department contact you will experience each day.

The successful applicant will:

  • 2+ years of administration and/or receptionist experience.
  • Intermediate level of computer literacy include Microsoft Suite.
  • Clear demonstrated ability to complete tasks in a high-pressure environment.
  • Clear demonstrated ability to organise and triage tasks with effective time management.
  • Clear demonstrated ability to work autonomously and in a team environment.
  • Committed to personal development.
  • High level communication skills – oral and written.
  • Positive attitude, sense of humour and self-motivated. 
  • 2+ years of medical, legal or insurance industry experience would be an advantage.
  • Track record in delivering administrative and/or reception service.
