Job description:

The role
IAG is seeking a Team Assistant to  provide support to 2 busy Executive Managers and their wider team. 


Key Responsibilities: 

  • Efficient and proactive diary management including informing the Senior Manager(s) of their schedule on a daily basis and preparing materials prior to meetings 
  • Assist the Executive Manager(s) and their direct reports in producing high quality reports, documents and presentations 
  • Assist with ensuring that the Executive Manager(s) team is compliant with all processes, guidelines, policies, standards and supervisory practices
  • Ensure meeting minutes/actions are documented and direct reports are held accountable for delivery to action plans and timeframes
  • Screen, receive and direct communication, including telephone calls
  • Distribute reading material as directed and follow up any responses / replies prior to the due date
  • Preparation and distribution of meeting agenda and papers
  • Running and sending monthly reports 
  • Manage administrative processes such as processing of expenses and reimbursements, raising purchase orders and processing invoice payments, actioning of staff requests and other workforce related updates, maintaining and updating confidential files and records, etc
  • Coordinate and organise key team and stakeholder meetings/ conferences 


Skills & Experience

  • Previous experience as a Team Assistant or Personal Assistant supporting busy managers in a corporate setting
  • Understanding of corporate etiquette and the need for discretion
  • A good understanding of Microsoft Office packages, MS Teams and Webex and someone who picks up new internal systems easily
  • Proactive, confident and able to manage stakeholders
