An exciting opportunity exists for an Administration Support Officer with a strong interest in and commitment to families and children. We are searching for a passionate and driven candidate who will form relationships with all our families, and ensure their experience is smooth and flawless. Working to support all activities within, you will need to think on your feet and call upon your outstanding administration skills as you assist in a broad range of tasks.

About You: 

Essential Criteria:

  • Diploma in Early Childhood Education and Care Qualification or Certificate III in Education and Care
  • Experience in customer service or front office reception
  • Business administration experience
  • Hold, or be willing to obtain, a working with children clearance check, Child Protection training certificate and First Aid certificate
  • Administration skills including a knowledge of computer software programs such as Microsoft Office, Excel, Powerpoint, MYOB, Kidsoft, QuickSuper
  • A committed Christian and active member of a church

Desirable Criteria:

  • Post-secondary education in administration, business or office management
  • Ability to liaise with the Director, and to take direction and initiative in completing tasks.
  • Able to provide efficient, accurate, timely and effective administration services to the centre
  • Ability to interact and relate to children, and build positive relationships with families and team members.
  • Excellent oral and written communication skills
  • Warm, welcoming and friendly personality
  • Trustworthy, dedicated and reliable
  • Demonstrated capacity to work effectively as part of a team.
  • Ability to meet deadlines.
  • Ability to multitask and demonstrate administration management skills.

About the Role

There is an exciting opportunity for a dedicated Administration Officer to join our debrief team at our Sydney Depot, located in Smithfield. Initially this position will be a casual position with approximately 20 hours per week, rostered Monday to Friday, 4pm – 8pm.  You will report to the Administration Supervisor and work with the debrief team to ensure high efficiency. 

You will use your  administration skills and ability to multi-task to facilitate the efficient and timely handling of all inbound and outbound freight from the Depot. Ideally, you will have previous administrative experience within the transport industry. You will have the opportunity to work independently as you autonomously manage the varied demands of the role. 

 Your main duties will involve:

  • First point of contact when the freight arrives at the Depot for dispatch;
  • Debrief: data entry, scanning of connotes and checking POD compliance;
  • Run checks to ensure revenue is captured;
  • Resolve scanning issues with freight in and out;
  • Check connotes entries to ensure connote integrity;
  • Review Yield reports and spreadsheets to ensure movements are charged correctly.

To be considered for this role you must:

  • Be proficient in Microsoft Office Suite;
  • Extensive data entry experience;
  • Strong customer service focus and commitment to working within a team environment;
  • Good communication skills, with a professional phone manner;
  • Strong time management skills;
  • Excellent written and verbal skills;
  • A keen eye for detail along with a high level of accuracy;
  • Experience working to strict deadlines;
  • Highly self-motivated, reliable, enthusiastic and have the ability to work independently and as part of a team; and
  • Keen understanding of OHS&W policy and procedure.

Experience in the Transport Industry is not essential but will be held in high regard

The successful applicants will be subject to:

  • A pre-placement Medical including drug & alcohol testing.

  • 2+ years of administration and/or receptionist experience.
  • Intermediate level of computer literacy include Microsoft Suite.

  • Clear demonstrated ability to work autonomously and in a team environment.
  • Committed to personal development.
