The Shared Services ICT CMTEDD and PATOCS ICT team is seeking a highly motivated and suitably experienced person to fill the position of Project Administrator and Reporting Officer. A detail-oriented individual to assist with preparing and coordinating project documentation, correspondence and reports in relation to CMTEDD projects and commitments. 

To be successful, you will possess excellent interpersonal, organisational and communication skills necessary to build effective working relationships with a diverse range of internal and external stakeholders. Lead administrative tasks, such as document and information distribution, report collation and communication support.

Eligibility/Other Requirements:

  • Relevant formal qualifications in Project Management discipline and experience in Microsoft Project is highly desirable. 

Note: Selection may be based on application and referee reports only. Successful applicants may be required to provide onsite support at both Nara House and Cosmopolitan building and must be willing to rotate between the two sites as required. This position will be moving to a new workplace designed for activity-based working (ABW) in 2020. Under ABW arrangements, officers will not have a designated workstation/desk.

About the role 

An opportunity exists for 2 enthusiastic people to join our friendly and supportive Emergency department clerical team on a part time basis to work at Calvary Public Hospital Bruce. we are looking to fill evening shifts from 1900 to midnight for 7 rotations. 

Duties include registering our patients on arrival, updating patient details, answering phone queries, completing patient admissions, retrieving patient records, liaising with clinical staff of all levels and providing administrative support and adhoc requests as required.

  • Proven ability to work as part of a small team and able to take instruction and complete given tasks under minimal supervision
  • Proven ability to manage duties and organise conflicting tasks

About the Role

This is a full-time position, based in Barton, ACT, reporting to the National Welfare & Engagement Manager. Providing day to day administrative, clerical support, basic finance for Welfare and Engagement National team to ensure the three service provisions (Held Detention, SRSS and the new RRAP) are delivered with quality and efficiency. You will assist with provide operational administration support to OLT meetings, raise SAP orders and other operation functions in Canberra. This position also requires a good understanding of office productivity applications such as Microsoft Office suite and Windows operation systems.

To be successful in this role, you will have:

  • The highest levels of personal integrity and ethical behaviour
  • Accurate recording of minutes from meetings including complex case review meetings for stakeholder distribution
  • Experience to manage basic finance tasks including prepare monthly financial reports including data entry for finance department, escalate any reconciliation discrepancies identified by conversing with employees, and finance department, review financial statements, reports invoices letters, and other documents, oversee bookkeeping tasks.
  • Knowledge in developing spreadsheets and databases to meet contract compliance, improve accuracy and efficiency of the services delivered
  • Experience to schedule internal and external meetings and training such as staff training/induction, program training for stakeholders, vendor meetings
  • Ability to manage inbound and outbound communications, including calls and emails to support the workload of staff
  • Ability to work with a diverse group of internal stakeholders at all levels of the organization

Your key responsibilities include:

  • Migrate documents onto TRIM and support policy officers by maintaining and adding records on their behalf
  • Act as conduit between Procurement and the team to support onboarding staff and consultants through drafting procurement plans and RFQ’s
  • Process invoices for the team
  • Aid the EA’s with policy coordination and responding to requests

To be considered for this opportunity, you must have clearly demonstrated experience of the following:
