Administration and Facilities Support Officer

We are seeking an organised, proactive and motivated individual for a facilities and administration support role. ABOUT THE ROLE Based in our office in Mandurah, this is a full-time role working Monday to Friday. You will certainly be kept you on your toes with this varied and busy role which is spread across two specific areas “ facilities support and admin assistance. Responsibilities include Assisting to troubleshooting breakdowns and maintenance as required Coordinating and scheduling contractors to provide efficient, effective and responsive service to prevent equipment breakdowns. Sourcing quotes, parts and equipment promptly Negotiating supplier accounts Ad hoc administrative support General reception duties ABOUT YOU To succeed in this role, you must be highly organised, have strong communication skills and be capable of working under pressure. You will need the ability to prioritise confidently and complete tasks to deadlines. Above all you must be able to manage high volumes of work with competing demands. You will be proficient with Microsoft Office (Outlook, Excel Word). Full drivers™ licence and police clearance is required. A technical or mechanical background in facilities management or equipment is NOT required, however you must be motivated and willing to learn quickly. What™s in it for you? Administration Assistant to the CEO
The successful growth of our Club and our ongoing opportunities have provided the opportunity for you to join our administration team. This rewarding role will provide the right candidate with the ability to become an integral part of our club and have real input to upcoming projects. Your duties will include, but not be limited to Providing first class support to the CEO and facilitate all communications for the CEO Create effective and detailed presentations and submissions Ensuring essential resources, documents and information is ready for meetings Attend meetings with the CEO, Board and Senior Management team and take detailed notes and action relevant items quickly Completing a wide range of various tasks at the CEOs request Answering and distributing incoming calls Maintain meeting room and boardroom bookings General Administration tasks, including data entry and diary management Administrative support to senior management Ideally you will be Organised, quick to grasp new tasks, have great attention to detail and have an ability to follow through. You will be the conduit between the CEO and various stakeholders and will be required to manage the CEO™s work schedule effectively. We need to delegate tasks to you and trust that you™ll execute them with little supervision. You will relish the chance to learn a lot in a short time. Our industry presents many challenges so positivity and perseverance is a must. Our relationships with members, stakeholders, suppliers and the community is of the utmost importance to us, so your verbal and written communication skills must be exceptional. One of your first tasks will be to assist in the preparation of a grant funding application and producing a first class submission, so the ability to compile comprehensive reports and information into a free flowing document is essential. Required Experience, Skills and Qualifications Strong organisational skills are essential for this role and you must be a team player. Ideally you will have the ability to take in information quickly and action appropriately. The following is also required. Competent in prioritising Multi-tasking Proactive and flexible attitude Excellent communication skills, both written and verbal Willingness to go above and beyond High level of initiative and ability to think outside the square An eye for detail Excellent knowledge of Microsoft Office (Word, Excel, PowerPoint and Outlook) The ability to produce detailed reports A positive and friendly attitude is key to fitting into the dynamic office culture A current drivers licence and your own transport is essential. This role is offered for an immediate start. You might be new to the workforce but extremely driven or you could have years™ experience in this field.
