headspace Parramatta has an exciting opportunity for an Administration Support Officer to join the team! The position available is full-time working Monday to Friday.

About the Opportunity

headspace is the National Youth Mental Health Foundation supporting young people aged 12-25 years with their mental & general health care needs. headspace provides young people with the opportunity to seek help early. headspace brings together local health services under the one roof making it easier for young people and their families to find the information they need.

In this role, you will be responsible for being the first point of contact for inquiries, as well as providing a broad range of administrative support functions for the headspace Parramatta team including:

  • Providing day to day office assistance to the operations of headspace
  • Providing a full range of reception services, including meeting and greeting of visitors whilst maintaining a clean, safe and inviting environment for visitors
  • Making appointments for young people to see clinicians, including SMS reminders and maintaining waiting lists
  • Processing MBS claims and coordinating the Medicare billing and client booking system
  • Performing duties as the main point of contact for the office for all administrative matters, and as otherwise specified by the Clinical & Operations Manager and/or the Clinical Practice Manager

This role requires that you be the first point of contact for young people who are often in crisis so it is essential that you have a high level of emotional intelligence and are comfortable working around children and youth.

You will also be able to demonstrate a practical and optimistic approach and the ability to work effectively within a team environment as well as independently.

About the role:

The Operations Administration Officer will provide high quality administrative support including monitoring the Regional Manager’s inbox, drafting communications on their behalf, planning and organising meetings, and responding to various ad-hoc requests.  The position works closely with key internal and external stakeholders, including the Office of the State Director, to ensure the Regional Manager’s team operates efficiently and effectively.   

The Operations Administration Officer is responsible for providing administration support to the Regional Manager.  The position reports to the Regional Manager and is a member of the NSW/ACT Admin Team.  

About you:

To be successful in this role, you will have:

  • Demonstrated high-level administrative experience.  A qualification in administration or management will be highly regarded;
  • Exceptional written and verbal communication skills;
  • A high level of initiative; ability to plan, organise and prioritise work; manage multiple tasks simultaneously; and work to tight deadlines under pressure;
  • Excellent interpersonal skills with a demonstrated capacity to work collaboratively with others and exercise influence in a range of contexts
  • Ability to work collaboratively within a multi-disciplinary, professional team;
  • Ability to interpret and implement organisational policy;
  • Intermediate level skills in Microsoft Office including Outlook, Word, Excel, PowerPoint and Sharepoint and the ability to use information management systems effectively including Family Journey;

We are looking for a receptionist with prior experience in medical reception to join our practice for immediate start. We have a secondary medical centre in Seven Hills called Barbara Boulevard Medical Centre, where you may be required to work some shifts.

Wages negotiable, but prior experience and certification required.

Skills and experience required:

- At least 1-year experience as a medical receptionist in a medical centre. If you do not have experience in medical reception, please do not apply as you will not be considered.

- Must have certification in a Medical Reception Course and/or prior experience working in a Medical Centre. if you have both, you will be given priority.

- Up to date first aid/CPR certification.

- Excellent communication skills and a high level of proficiency in English.

- Good organizational skills and being neat and tidy.

- High attention to detail and dedication to complete given tasks.

- Good computer skills, especially in typing and MS Word.

- Preferable experience with Best Practice software .

About the Organisation:

We have a skilled and friendly, supportive staff, who will try their best to support you if you have any problems or issues. We are primarily a family doctor service with many patients using our medical centre as their family GP, giving us a well established patient base. There is also ample parking available close to the medical centre itself, both at Walters Road Medical Centre as well as Barbara Boulevard Medical Centre.
