About the Organisation

Mildura Base Public Hospital (MBPH) has approximately 930 staff and is a 180 bed tertiary teaching hospital (Level 1) providing public hospital services on behalf of the Victorian Government to the community of Mildura and the Sunraysia District.

About the Role

The Executive Assistant will support the Chief Nursing & Midwifery Officer (CNMO) and the Executive Director Clinical Operations (EDCO) to ensure the provision of administrative and secretarial services in order to achieve organisational goals and excellence in service delivery.

This highly regarded position will be responsible for:

  • Providing confidential and efficient secretarial services in relation to the flow of information to and from the office of the CNMO/EDCO
  • Preparing agendas, and accurately maintaining minutes and records of major events
  • Developing, formatting and delivering documents to the appropriate parties as directed by the CNMO/EDCO
  • Planning and coordinating functions and special projects as required

About You

  • Extensive administrative support experience at the Executive or Senior Leader level
  • Highly developed verbal and written communication skills and advanced computer skills
  • Can protect confidentiality of information across the responsibilities required of the role
  • Ability to work effectively both independently and within the broader hospital administration team

About the role

We are seeking an experienced Executive Assistant to join our organisation in this temporary role. The Executive Assistant provides a range of executive support and administrative services to facilitate the delivery of business operations and to support the Senior Executive/s achievement of organisational objectives.

Skills and experience

  • Experience in working with Aboriginal people and communities.
  • Experience in working in a community governance setting, prefer under the CATSI Act, 2006.
  • Ability to multi-task and prioritise tasks.
  • Excellent verbal and written communication skills.
  • Intermediate/advanced knowledge in Microsoft suite with high level of experience.

We are looking for a candidate that is a quick learner, self-motivated, highly skilled and organised.

Please note: All potential candidates will be required to produce a National Police Clearance and Child related screening to be eligible.

Our Swan Hill clinic fills a critical role within the local community and is operated by team of very dedicated staff who take pride in their ability to provide a high level of professional service to the Swan Hill community and beyond. This position would involve working directly with patients from the Swan Hill region, and would involve but not be limited to answering phones, greeting and liaising with patients, generating invoices, processing referrals, managing patient health information. 

We are seeking to bring diversity to our team, therefore, experience from within the health industry is not mandatory. However, a minimum of 2 years administration experience is required. The successful applicant would work with the team within our Swan Hill Clinic but also the wider administration team at all Country Hearing’s sites. Therefore, computer and interpersonal skills, especially telephone skills, are essential along with excellent organisational skills and a commitment to providing great customer service.
