My client is a membership based organisation that helps independent schools with government funding on a national basis. This client is looking for an experienced Executive Assistant to join their team on a short term contract. In this position you will report to the Executive Director and provide general office support to all secretariat staff.

Duties of the role include but are not limited to:

  • Coordinate diary, email and travel management
  • Screening and responding to email and phone enquiries
  • preparing meeting papers and developing or co-ordinating presentations and material
  • Providing administrative and logistical support to the office and regarding aspects of corporate governance
  • Photocopying, collating and distributing Board papers.
  • Responsible for hard copy filing and archiving functions using TRIM, an electronic record keeping system.
  • Ensuring contact details are kept up to date in Microsoft Outlook.
  • Generating mailing lists from Outlook for the distribution of publications.
  • Updating information lists used by staff.
  • Providing support to the Policy Analyst in relation to internal IT support, including uploading
  • information to the website.
  • Ordering office supplies.
  • Organising building maintenance tasks as required.
  • Coordinating travel arrangements for staff and Board members’
  • Liaising with a wide range of stakeholders to effectively work towards project outcomes
  • Resource development with the approach to effective project delivery
  • Recommending strategies and approaches for service improvements and project delivery improvements

Skills and experience:

  • Previously demonstrated experience working on project delivery
  • Previously demonstrated experience in executive support
  • Previously working to deliver outcomes for communities and families
  • Ability to effectively communicate and liaise with a wide range of stakeholders
  • Ability to work effectively in a team with a separate roles towards a common goal
  • Ability to meet tight deadlines

About the Role

The Executive Assistant will work in close relationship with the Chief Financial Officer (CFO), by providing high-level support to the CFO. The successful applicant will play a key role in the day to day operations of the office providing high level corporate support and working with a diverse range of stakeholders including other key executives and their related teams.

We are seeking dynamic, professional and well-organised applicants, who are able to establish and maintain strong working relationships with a variety of stakeholders. You’ll have a broad understanding of how a Finance team functions within a medium-large sized organisation. You have strong communication skills and high level of emotional intelligence and a willingness to take initiative.

Essential Criteria

  • Clearly demonstrated and proven experience as an Executive Assistant/Executive Support Officer/Office Manager or similar within a busy multifaceted environment.
  • Proven capacity to work individually or as part of a team delivering quality and valued work in a timely manner, demonstrating strong planning and organisational skills.
  • High level interpersonal skills with a courteous and collaborative approach and an ability to build positive relationships with external and internal stakeholders. You will have strong communication skills (both oral and written).
  • Professional experience and advanced working knowledge with computer
  • software packages including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Docs.
  • Experience working with operational budgets and finance matters would be an advantage.

As a member of the ASC Board, Executive and Corporate Support team, you will provide a range of high level executive and secretariat support services to assist the Board and Executive to achieve business objectives, including in the management of the Office of the Chief Executive Officer (CEO) to ensure day-to-day management requirements are met. You will provide a high level administrative support and services to the ASC Board of Commissioners and additional support services to the Chair and individual Commissioners as required. 

We are looking for a candidate who will possess the following:

  • Tertiary qualifications in administration, office management, business management or another relevant field are highly desirable.
  • Demonstrated executive support experience within a dynamic senior executive environment.
  • Demonstrated experience in, or understanding of, the provision of administrative support services to Committees and Boards.
  • Demonstrated experience in developing, monitoring, maintaining and implementing information, records, policy and procedures.
  • Experience in organising and managing travel, events, meetings and coordinating and undertaking projects.

This position is based in Canberra and will be available on a fixed term basis until 30 September 2021.

This position requires the holder to be able to obtain and maintain a AGSVA Security Clearance to Negative Vetting 1

Salary = $92,007 - $106,078 per annum + up to 15.4% superannuation.

These opportunities are labour-hire contracts between 3-6 months with the possibility to extend. To be considered to join our network of talent, you will need to clearly demonstrate your experience in as an Executive Assistant in the Australian Public Service with duties such as:

  • Diary, inbox and calendar management
  • Management of travel including assistance with travel budget management, acquittal of travel expenses
  • Maintaining phone lists, contact lists and organisational charts
  • Meeting coordination including catering/venue hire as required
  • Secretariat support including minute taking
  • Provide back-up support when other EA’s are on leave
  • Stakeholder management

As an Executive Assistant, it is critical in ensuring the smooth operational activities of the branch and Executive you are supporting. Therefore, you will clearly demonstrate your ability to use your initiative and common sense, be motivated, discreet, possess good communication skills including written and listening.

You will have a positive outlook with the ability to manage competing priorities and thrive in a busy environment.

In addition, you will have a (minimum) Security Baseline Clearance.

These opportunities will be paying between $44.00 per hour to $48.00 per hour plus 9.5% Superannuation Guarantee. The hours will be minimum 37.5 hours per week, Monday to Friday.
