Beaumont Care is seeking to employ an enthusiastic and experienced Administration Assistant to provide part-time administration support and reception duties at our Beaumont Care Mt Tamborine facility to cover maternity leave for at least 12 months.

The successful candidate will have experience in Aged Care and possess exceptional communication, customer service and administrative skills. Your advanced computer skills will enable you to utilise rostering, database and Microsoft Office Suite products effectively.

The successful applicant must hold a current police certificate prior to commencement and must have up to date flu vaccination.

Reporting to the Facility Manager, other responsibilities may include:

  • Rostering, and personnel file management
  • Petty cash, ordering and reconciliations
  • Management of all administrative services including admissions, discharges, filing, mail, correspondence, meeting minutes

Your tasks may include all or some of the following:
  • General administration support including but not limited to filing, mail, making appointments, diary management, travel arrangements, drafting documents and correspondence and reimbursement of expenses
  • Attend and take minutes at relevant meetings
  • Manage database input and updating with a high degree of accuracy
  • Maintain the filing system on a daily basis
  • Manage incoming and outgoing mail
  • General reception duties including Outlook Calendar and incoming call management
  • Taking phone calls and directing to the relevant staff member

We are looking for candidates who possess the following:
  • Previous experience working within an administrative based role
  • Advanced experience with computerised systems and MS Office
  • Excellent communication skills with the ability to liaise effectively with internal and external stakeholders
  • Excellent written and verbal literacy skills
  • Exceptional time management skills
  • Exceptional efficiency, attention to detail and organisational skills
  • Ability to work both unsupervised and as a member of a team.

Please note that you MUST be available to commence immediuately and be happy to work on a temporary/casual basis.

Initial interviews will be held with a Consultant from Beaumont People prior to being presented for a specific role. You will also be required to complete computer skills testing.

Magnolia Aged Care is a 150 bed facility with a great reputation in the local community for providing high quality care and services. Magnolia Aged Care is owned and operated by respected aged care provider CPSM Care who operate other facilities in the wider Brisbane area 

Magnolia Aged Care has a full time Administration Manager supporting the site and the management team including the General Manager and Care Managers. The Administration Assistant is an important role on site to ensure the smooth operational running of the facility. The role is full time, Monday to Friday 0830-1630. 

Responsibilities / Authorities:

  • To demonstrate an exceptional level of reception and customer service ensuring that a high standard of professionalism is maintained at all times.
  • To assist with rostering and other human resource management functions in conjunction with the site management team.
  • To assist and maintain electronic databases and documents in accordance with site processes and best practice.
  • Organise and schedule staff meetings, education and maintain all relevant documentation.
  • Assist in the quality production and distribution of facility correspondence ensuring that a high standard of accuracy and professional format is maintained.
  • Provide general support to residents and their representatives, visitors and staff.
  • To maintain confidentiality of information.
  • Assist the Administration Manager with their role and responsibilities.

Qualifications and  Experience:

  • Valid satisfactory Criminal history check.
  • Evidence of current influenza vaccination.
  • Formal qualifications relevant to the position desirable.
  • Appreciate the need to be highly reliable.
  • Ability to build and maintain harmonious, collaborative and positive interpersonal relationships with others. 
  • Superior customer service skills and ability.
  • Demonstrates optimal time management and prioritisation skills.
  • Ability to communicate effectively, appropriately and professionally both written and orally.
  • Demonstrated ability to adapt, change and learn.
  • A minimum of two years experience in a similar role.
  • High level of computer proficiency and use of applicable software applications.

  • Proactively build and maintain strong working relationships with clients

Skills and Experience

  • Relevant secretarial and administrative experience supporting a team in a fast paced, corporate environment, preferably in business services
  • Prior experience in the use of MYOB AE advantageous
  • Proficient in Microsoft Office suite and other office productivity tools
  • Sound knowledge of using team meetings and zoom calls
  • Proficient in SAI Global Search Platform
  • Excellent organisational skills, ability to prioritise conflicting deadlines
  • Ability to collaborate with others in a team environment
  • High level of accuracy and attention to detail
